Guidelines to Booking a Home Rental

We want your property rental experience with Cartagena Colombia Rentals to be a memorable and pleasurable one from the beginning to the end. Therefore, we have compiled a list of possible questions and queries to help clarify our policies and procedures and to help to assist you when booking your home rental with us.

Reservation

Once a reservation has been requested, we will contact the owner to verify the availability. When we have ascertained that the property is available, the interested party will be notified. A reservation security deposit is required at this time to secure the booking.

Refundable Damage Security Deposit

A refundable damage security deposit in the form of an online card payment equivalent to $500.00 USD in your local currency is required 60 days prior to arrival.

The refundable damage security deposit covers any loss or damages to the property caused by the Guest(s) or their invitees to the furniture, fittings, finishing’s or personal effects of the property owner. The refundable damage security deposit will be refunded within 5 business days in accordance with Guest(s) Commitment d.

Administration Fees

Zero. We do not charge “Administration fees”.

Cancelation Policy

The potential to re-rent grows exponentially lower as the date draws nearer. Therefore;

If cancellation occurs within 60 days of the check-in date, the full rental amount is non-refundable under any circumstances. No refunds for shortened stays, re-booking with alternative dates may be considered if it is feasible.

If cancellation occurs within 180 to 61 days of the check-in date 50% of the deposit is non-refundable under any circumstances. No refunds for shortened stays, re-booking with alternative dates may be considered if it is feasible.

Wire transfer refunds incur an additional $80 Cancelation Fee.

All funds collected will be returned from where they originated.

Arrival and Departure Check in and Check out times

When circumstances permit, allowances are usually made for early arrivals or late departures as per the ‘Arrival and Departure Policy and Procedure’

ARRIVAL POLICY
Check-in can be made between 3:00 pm and 8:00 pm.
Arrivals before 3:00 pm. It is vital that you let us know your plans as soon as possible. We will do our very best to meet your requirements and will accommodate an early arrival if availability allows. The only way of ensuring a check in before 10:00 am is by reserving the previous night. You are of course very welcome to leave your luggage in the house and return after 3:00 pm.
Arrivals after 8:00 pm will incur an additional cost of $20.00, then a cost of $30.00 after 11:00 pm.
The person who made the house reservation must show their identity card or passport, sign the rental contract and settle any outstanding payments

DEPARTURE POLICY
House departures should be made before 11:00 am.
Departures after 11:00 am. It is vital that you inform us of your plans in advance. We will do our very best to meet your requirements. You are of course welcome to leave your luggage in the house (where it will be securely stored) and collect it later in the day, before 2:30 pm.
We do not charge extra for a final cleaning service, but a fee of $100 will be charged if the house is left in an unreasonable state.

Minimum Stay Requirement

All rental properties have a minimum stay of 3 nights during low season and 7 nights in the high season.

Maximum Occupancy

The maximum number of Guest(s) is limited to the number specified on the ‘Guest(s) Profile’. (See below second to last section).

Daily Maid Service

Cleaning and Preparation of breakfast is included in the rate. Food is not.

Guest(s) Commitment

a. Make no alterations to the Property without written consent from Hampton Property Rentals LLC.
b. Not sub-let the Property.
c. Grant Hampton Property Rentals representatives and authorized personal access to the Property with 24hrs notice, except in the case of an emergency.
d. Hand over the Property and its contents in the same condition as it was received.
e. Not use the premises for any weddings, parties or events during the rental period.
f. Not permit, maintain or commit nuisance behavior.
Nuisance behavior is defined as that which disturbs the peace and quiet enjoyment or endangers the health, safety or well-being of neighbors, their Guest(s) or invitees. Nuisance behavior includes but is not limited to: obscene language, involvement in illegal drugs, substance abuse, anti-social behavior, underage drinking, illegal gang activity, prostitution, and objectionable acts. Guest(s) agrees that nuisance behavior is grounds for immediate eviction and/or other legal action. Guest(s) shall have due regard for the peace, comfort, and enjoyment of their neighbors. All noise including TV, stereo, radio, and musical instruments etc. shall be kept at a volume low enough so that no noise whatsoever shall escape from the Guest(s)’s own dwelling. Outdoor music that disturbs neighbors is never permitted; this includes loud music being played in vehicles on or about the Property

Pool Policy

Diving or jumping into the pool or hot tub may result in head, neck, or spinal injuries. The Guest(s) accept all risks of the pool or hot tub and specifically agrees that no minor will swim unaccompanied by an adult.

Liability Waiver

Owners, rental agents, managers and representatives are not liable for loss, damage of property, injury to Guest(s) or Strangers to this contract who may have be permitted to enter or use the property during the Guest(s) stay on the premises. Guest(s) hereby release, waive, discharge and covenant not to sue the owners of this property, rental agents, managers and representatives, or employees and staff for any liability, claim and or cause of action arising out of Guest(s) negligence.

Rental Agreement

This agreement is between Hampton Property Rentals LLC, acting as the Rental Agent and the Property Renter – Hereinafter referred to as Guest(s)

10) Refundable Security Deposit – A Refundable Security Deposit is required at the time of the final payment and will be in the form of a credit card hold unless ‘Cash on Arrival’ has been noted in ‘Guest Profile’. The Refundable Security Deposit covers any loss or damages to the Property caused by the Guest(s) or their invitees to the furniture, fittings, finishing’s or personal effects of the property owner. The Refundable Security Deposit will be refunded within 5 business days in accordance with 14) d.

11) Information Required – Guest(s) are required to provide accurate arrival information on the ‘Guest Profile’ so that a Hampton Property Rental concierge team member has a clear idea as to when the Guest(s) are arriving at the Property.

12) Arrival and Departure Check in and Check out times – When circumstances permit, allowances are usually made for early arrivals or late departures as per the ‘Arrival and Departure Policy and Procedures’.

13) Maximum Occupancy – The maximum number of Guest(s) is limited to the number specified on the “Guest Profile & Agreement”. All Guest (s) must register upon arrival and show a Passport or valid picture ID

14) Guest(s) Commitment –

a. Make no alterations to the Property without written consent from Hampton Property Rentals LLC.

Data Collection Policy

Hampton Property Rentals LLC may collect information from you necessary to process your booking or payment.

We require that you provide certain Personal Information, including your but not limited to the information in ‘Guest(s) Profile’ above. We will not use the Personal Information beyond the scope below that is necessary to secure your home rental booking with the owner or agent or in compliance with Personal Data to a Third Party.

1) To respond to customers in an appropriate manner in handling applications from customers, making proposals to customers, and otherwise negotiating with customers in relation to businesses, such as our home rental services
2) To facilitate our appropriate administration of contracts with customers, property owners and agents and to appropriately handle the necessary administration, such as the response to inquiries
3)To carry out questionnaire surveys among customers
4)To carry out various administrative tasks that are necessary for the management of our business

Provision of Personal Data to Third Party

We do not disclose or provide the customers’ personal data we hold to a third party without the consent of the customer concerned. However, the personal data may be disclosed or provided to a third party without the consent of the customer concerned in any of the following circumstances:

1) If such disclosure or provision is pursuant to the provision of any law or ordinance
2) If such disclosure or provision is necessary in cooperating with tasks prescribed in the provisions of laws and ordinances that are carried out by a government agency or local government, or a party commissioned by any of them, and if the obtaining of consent from the customer concerned is likely to interfere with the execution of the said tasks.

Card Payments All card payments are processed through our merchant providers who collect your credit card information directly. We will not have access to or see your credit card information.

Protection of our children

We respect and promote the preservation of our cultural heritage in accordance with Law 1185 of 2008, which safeguards, protects, recovers, conserves, sustains and educates people about a country’s cultural heritage. We also support the prevention and rejection of illicit trafficking of cultural properties in accordance with Law 63 of 1986, which approves the “agreement of measures to be taken to prohibit and prevent the import, export, and transfer of illicit cultural goods,” signed in Paris November 17, 1970. In compliance with Law 679 of 2001, Law 1336 of 2009 and Resolution 3840 of 2009, the illegal trafficking in accordance with Law 599 of 2000, Article 328 and for the protection of our children.
